The electronic document must arrive from the information system to your computer with an installed commodity accounting program with EGAIS support. If the data matches, you accept the invoice from the supplier and confirm the fact of purchase in EGAIS. If not, or if the stamps on any goods are damaged, you can either completely reject the invoice or issue a discrepancy report.

Let’s assume that everything came together and confirmation of the purchase in EGAIS took place. Now you need to upload information about the goods into the cash register program, which must also be installed in retail in accordance with the requirements of the Unified State Automated Information System.

It is assumed that each bottle of alcohol has a special stamp on which a two-dimensional Micro PDF417 barcode is applied. It encrypts information about the manufacturer and license, as well as other product characteristics.

So, bottles of alcohol are placed on the shelves, and trading begins. The buyer chose required product and ready to pay. The cashier reads the information from the bottle's barcode using a 2D scanner, and the item is added to the receipt. If there is a failure

If the Internet in a store suddenly turns off, alcohol sales can continue for some time. The program for EGAIS will save data on each sale. And as soon as the network works again, the software will transmit the data to the PAP. In this case, checks to customers will be closed. The EGAIS system in retail trade in 2017 assumes that you can work in this mode for no more than three days. If the breakdown is not repaired within this time, the sale of alcohol will have to be suspended.

If a retail outlet is not connected to EGAIS, then from January 1, 2016, it is prohibited from selling alcoholic beverages, including beer. Responsibility for failure to connect to EGAIS is the same as for the sale of alcohol without accompanying documents. By April 20, declarations for the 1st quarter of 2016 were submitted, and the regulatory body was able to compare the information reflected in the declarations with the volumes that passed through the Unified State Automated Information System. And then suppliers and sellers who did not ensure the normal functioning of the system by this time could have problems - measures provided for by law were applied to them, up to and including deprivation of their license.

Will EGAIS be postponed until 2018?

This question comes up quite often among alcohol retail representatives. Most likely, it arose on the basis of speeches on this topic by the organization “Support of Russia” in the media. “Opora Rossii” appealed to the authorities with a proposal to postpone the need to connect to the Unified State Automated Information System until July 1, 2018. However, the law officially came into force on January 1, 2016.

How does EGAIS reflect information and supplies of ethyl alcohol, alcohol and alcohol-containing products made to recipients who are not participants in EGAIS within the framework of subclause 4 of clause 2.1 of Article 8 of Federal Law No. 171-FZ of November 22, 1995?

Thus, organizations purchasing ethyl alcohol, alcoholic and alcohol-containing products for the purpose of using them as raw materials or auxiliary material in the production of non-alcohol-containing products or for technical purposes or other purposes not related to production and (or) turnover (except for purchases) ethyl alcohol, alcoholic and alcohol-containing products are exempt from the obligation to submit information about such turnover to the Unified State Automated State Information System.

In turn, suppliers of ethyl alcohol, alcoholic and alcohol-containing products, when making deliveries to recipients who do not have a license and are not members of the Unified State Automated Information System, after recording information on the shipment of such products in the Unified State Automated Information System (UTM), receive a corresponding notification (receipt). Based on this receipt, the corresponding quantity of shipped products is written off from the supplier’s balance sheet. If the quantity of products indicated by the recipient in the “Certificate of Discrepancy” coincides with the quantity of products in the new version of the “Shipment Information” created by the product supplier, this document will be recorded in the Unified State Automated Information System automatically.

In the case of , then the recipient of the product TTN may refuse. Then the product supplier needs to generate a new version of the “Shipment Information” document in the EGAIS software of manufacturers and importers, in which to indicate the quantity of products actually delivered.

If the recipient of the product took TTN, then the further movement of products to the supplier is reflected through the creation of returnable consignment notes. Or the supplier needs to create new document“Shipment information” with missing quantity of products.

If there are duplicates in the EGAIS classifier, they can be associated with existing positions. In the command panel of the item reference book, you can set selection by flag Alcohol products item type and set a filter According to the properties of EGAIS. Using a filter, you can select item items based on the field values ​​of the selected item of the EGAIS classifier.
